Understanding the payouts system

To make sure you're having an easy time paying your affiliates, understanding the payouts system is recommended.

The payouts system is composed of payouts, payments and commissions. A payout contains one or several payments and a payment contain one or several commissions.

Understanding payouts

Payouts are reports containing individual affiliate payments. You can find all your payouts in your WordPress dashboard > SliceWP > Payouts.

When viewing the main payouts page, you will have a table containing basic data about each payout, including the total amount due to affiliates, the number of affiliate payments, the date a payout was created and a progress bar for paid/unpaid payments.

By clicking the View button, you will be redirected to an individual payout page, which looks similar to the following screenshot.

The above image contains a lot of information, so let's break down each section:

  • Payout Details: As the name suggests, these are the main details of a payout. This information is similar to what is shown in the payouts table from the previous screenshot, however it also contains the user that generated the payout.
  • Payout Progress: This bar shows the percentage of paid versus unpaid payments. It's there as a visual cue, so you can easily appreciate how many payments have been delivered to your affiliates. It also contains a drop-down field where you can select a payout method to pay or bulk mark all payments as paid.
  • Payments: This table represents the individual affiliate payments under a certain payout. Each table row contains the affiliate's name, the amount due, the status of the payment and a couple of actions.
  • Notes: Here you can add quick notes to the payout.

Understanding payments

Payments, similar to payouts, are reports containing individual commissions.

To view a particular payment, click on the View button from the payments table. You will be redirected to a page similar to the screenshot below:

Similar to payouts, the individual payment page is composed of several sections:

  • Payment Details: Here you can find the payment's main data, like the affiliate it's destined to, the amount due and the date it was created. This section also contains the Status drop-down option, which is editable, where you can manually modify the payment's status.
  • Commissions: Similar to how payments are shown in payouts, here in the payment subpage you can see all the commissions that belong to the payment.
  • Notes: Here you can add quick notes to the payment.

Important note: Payments in SliceWP are not actual payments made to affiliates. They are just a representation in your WordPress dashboard of an actual payment.

Manually modifying a payment's status will not automatically transfer money to your affiliate. Actual payment methods are discusses in this article below.

Creating a new payout

Now that you have an overview of how payouts and payments look and feel, let's create one, by following these steps:

  1. Navigate to your WordPress dashboard > SliceWP > Payouts and click the Create Payout button at the top of the page.
  2. Set the Start date and End date. With these dates set, SliceWP will search for all commissions, with status Unpaid, and sum them up for each affiliate.SliceWP create payout page in WordPress dashboard
  3. If you'd like to generate a payout report for only one affiliate, select that affiliate by searching for their name or email in the Affiliate Name field. With this field completed, SliceWP will search for all commissions, with status Unpaid, belonging only to the selected affiliate.Affiliate name field in SliceWP create payout page in WordPress dashboard
  4. Optionally, you can also set the Payments Minimum Amount. If this field is completed, only commissions totaling a higher value than the minimum will be taken into account for affiliates. For example, if you set the minimum to $50 and you have an affiliate with 3 unpaid commissions totaling $47, this affiliate will not appear in the payout report.Payments minimum amount field in SliceWP create payouts
  5. After you've set all the fields to your needs, click on the Preview Payout button.
  6. You will be redirected to the preview payout page, where you're able to view the data you've just entered and also a table with all the affiliates and their payments, which the plugin calculated based on the provided data. Please note: at this moment the payout hasn't been created yet. Here you can review it and, if some of the information hasn't been set correctly, you can go back and modify it.SliceWP preview payout page in the WordPress dashboard
  7. After you've reviewed the information, click on the Create Payout button, from the bottom of the page, to create the payments and the payout.

Paying your affiliates via bank transfer

If you wish to pay your affiliates through bank transfers, you will need to do this manually, given that SliceWP cannot connect to a bank's system to perform the task automatically.

Furthermore you will also need to inform your affiliates about the payout procedure and ask them to provide bank details, so you can pay them directly into their bank accounts.

Once you pay affiliates, we recommend you to modify the status of each payment from a payout to Paid, just to make sure your payout reports in SliceWP are up to date. Follow the steps below to manually update a payment's status.

  1. Navigate to SliceWP > Payouts and click on the View button for the payout you wish to modify.View payout button in SliceWP payouts page
  2. Once you are redirected to the payout's view page, scroll down to the payments table and click on the View button for the payment you wish to update.SliceWP View payment button in single payout
  3. For the Status field, found in the Payment Details section, select the desired value. In this case select Paid.SliceWP payment status field.
  4. Lastly, save the payment by clicking on the Save Payment button found at the bottom of the page.

Quick note: When you set a payment's status to Paid, the status of all commissions belonging to the payment will also be set to Paid.
